UPDATE – On-site housing requests for 2017 (including summer)

++++ PLEASE NOTE THAT THIS IS AN UPDATE TO RECENT NOTICES ABOUT ONSITE SUMMER HOUSING REQUESTS ++++

The Housing Office has adjusted the housing allocation procedure in response to the feedback we received after the recently distributed notice.

For dormitory rooms ONLY:

The Housing Office will begin accepting online or emailed requests for dormitory rooms on Wednesday, February 15, at 12:01 a.m. Central Standard Time (CST), for all requests for stays with arrival dates in the calendar year, 2017:

1. Requests will be processed as received by the Housing Office.

2. Each request must include:

a. Arrival and departure dates
b. Experiment
c. Institution
d. Occupation/Education status, (Scientist, Professor, undergraduate, graduate, postdoc, etc.)
e. Name of spouse or partner, as applicable (children cannot stay in a dormitory room)

3. The occupant’s name should be known at the time of request. If the name is not known, the request can include up to 3 rooms for unnamed individuals.

FOR SUMMER REQUESTS (when any portion of the stay is between June 1 and August 31), please note: A limited number of dormitory rooms will be allocated to specific experiments or groups in accordance with the priorities of the lab, as determined by the Directorate.  All other rooms will be allocated on a first come/first served basis.

For requests that cannot be accommodated, the requestor will be asked if they want to be on the wait list and offered a questionnaire to help determine need. Once the completed questionnaire is received, they will be added to the wait list.

Requests for reserved blocks of multiple dormitory rooms for meetings, conferences, schools, or programs will be managed on a case-by-case basis by the Housing Office, and will depend on priorities of the lab, arrival dates, available housing, and number of requests. The summer months are a particularly difficult time to confirm requests of this nature.

Please note that personal or telephone requests will be accepted only when the Housing Office is open, Monday – Friday, 8 a.m. to 4 p.m. CST. Therefore, we strongly encourage using the online request form at http://fess.fnal.gov/accommodations/housing_request.html .

For Houses and Apartments ONLY:

The Housing Office is now taking requests for reservations for houses and apartments for Summer 2017. Please submit your request for reservations to the Housing Office by Friday, February 24, 2017.  Requests can be made for any period and need not commence on any particular date.

Allocations of houses and apartments will be determined by the Housing Allocation Committee, based on experiment or theory group priority as indicated by a Directorate representative and in accordance with the needs of the Laboratory. Requests will no longer be sent to the Spokespersons for consideration.

A fee equal to two weeks rent will be charged to an individual or group if notice of cancellation or postponement is not provided to the Housing Office two weeks prior to the scheduled arrival date. Postponements are allowed on a one-time basis only, for a maximum period of two weeks.  After two weeks, it may be necessary to reassign the accommodation.
