Business visitor site access changes begin April 13

To comply with DOE access requirements, the lab is making improvements to the site access process for business visitors, which begin on Wednesday, April 13.

A business visitor is an individual participating in a meeting, conference, review, VIP event, procurement vendor visit, etc. who will be on site seven days or fewer and is not an active user or affiliate.

Beginning April 13, business visitors will be required to fill out an Access Request form in ServiceNow at https://fermi.servicenowservices.com/expert_shell.do?sysparm_sys_id=63f9f6a8dbd148104e65ff621f961975. (This form will not have the business visitor option until April 13.) Upon request approval, the business visitor will receive an informal invitation letter with a QR code, which they must present at the security gate. Email requests will no longer be accepted beginning April 13, and an in-person escort cannot be used in place of the Access Request.

If a business visitor cannot present the QR code at the security gate, they will be asked if they have submitted the Business Visitor Onsite Request. If a request has been submitted, the Security Operations Center will triage. If the individual has not submitted the request, the visitor will be denied entry until they submit the request. Note that onsite access will be dependent on citizenship status and the location(s) the individual is visiting at Fermilab.

Business visitor requests submitted via email before April 13 for visits to be held during the month of April will be honored. Business visitor requests for May 1 and beyond will require a completed Business Visitor Onsite Request form even if the request was originally submitted via email.

Note that onsite access approvals will be dependent on citizenship status and the location(s) that the individual will be visiting. It may take up to four weeks to process a request. Please plan accordingly.
